Does Tana Outliner offer a meeting notetaker?

Does the desktop app work with Zoom, Meet, Teams?
Yes. Because Tana Outliner records system audio rather than joining as a bot, it works with any video conferencing tool, including Zoom, Google Meet, Microsoft Teams, Webex, and in person meetings. You don't need to configure anything per platform.
How to change the name of the meeting agent?
You can change the name of the meeting agent through the meeting agent settings.
How to revoke meeting agent from a meeting?
Tana Outliner is looking into creating a button that will make the agent leave a meeting if you press it. Until that is in place, it is possible to force the agent to stop transcribing and kickstart the meeting notes processing if necessary.
To do this:
- Run the command "Debug node" on the meeting node
- Set the Meeting bot status to Done
The agent should now have stopped transcribing, and the text processing agent should start running.
Does GPT log monitor show meeting agent credit usage?
Only partially. The transcription of the meeting does not use OpenAI and is therefore not logged in the GPT log monitor. Meetings use a service called Soniox and there is ongoing work to expose the AI credit cost of individual meetings in a simple way, but currently it's not possible.
The post-processing of the meeting transcript is however done using OpenAI and will be visible in the GPT log monitor.
How to change tags used in meeting agent and calendar?
Supertags are created or assigned as part of the setup for your meeting agent/calendar integration.
Calendar integration:
Supertags that are used during calendar sync are listed under "Classification of events" in the Google Calendar settings. When you change a tag, it needs to use the same fields that are set up for the calendar integration, otherwise the information will get lost. To check which fields are used during sync, go to Google Calendar settings, then Advanced, then Raw configuration.
Meeting agent:
Supertags are used when processing the transcript to create meeting notes. These supertags are set during setup and can be changed by going into the command node that controls the meeting agent and the transcription process.
First, you must navigate to the text processing agent command for your meetings. In the text processing agent config, you will see parameters like "Tags used for X", which is the list of supertags used when processing meetings.
To change the tags, simply add or replace tags from these lists. However, there are several things to consider:
- Study existing tag: Open the config for the tag you want to replace, and study how it's set up. Try and identify dependencies like specific fields that are also used in the meeting config. Try and make sure your replacement tag replaces as much of the original one as possible
- Set Base type: Make sure the new supertag you add has the appropriate Base type defined, and that it's suitable for the type of object it is. Items typically use base tags: Project, Topic, Event. Entities typically use base tags: Person, Organization, Location. Action items typically use base tag Task
- Decommission the old tag: Make sure the tag you're no longer using is merged with the one you're using, or deleted, to prevent clutter and confusion
How to change or disable desktop recording shortcut?
All desktop apps have access to a top bar with several OS-level menus. Go to Options, then "Customize keybindings" to change it.
Mac: The Option menu is visible when the top bar is visible.
Windows: Hit Alt to see the top bar of the window.

Can I sync a calendar to other workspaces?
Currently the calendar sync only works on your private workspace.
Can I sync multiple calendars?
Currently, Tana Outliner only accepts one calendar account which it can sync events from. Support for multiple calendar accounts is planned for the future.
In the meantime, there is a workaround where you can make events from other accounts sync to a single account, which then could connect to the app. To connect a Google account's calendar to another, go to the settings of the calendar you want to add to the primary calendar. Under "Share with specific people and groups", add your primary account and allow them to "make changes and manage sharing".
Once properly linked, you'll see the calendar appear under "My calendars" in Google Calendar, not "Other calendars". Then go to Tana Outliner and Settings, then Google Calendar sync, then General config, and you should be able to select it from the list of synced calendars.
Two-way calendar sync?
No, Tana Outliner's calendar integration provides one-way sync at the moment. This means that if you make changes to events in the app, they are not reflected in your Google Calendar.
Is it allowed to transcribe lectures?
The general policy for transcribing lectures at most academic institutions is that recording or transcribing lectures is permitted primarily for personal, educational use. However, we recommend checking with your institution.
A good rule of thumb is to always obtain consent before recording and transcribing others.
